About the Role

We are seeking an experienced Events Manager/Coordinator to oversee and manage all side events associated with TOKEN2049 and SuperAI. The ideal candidate will have a minimum of 3-5 years of experience in event management and hospitality, demonstrating a strong ability to negotiate deals, liaise with sponsors, and manage multiple events simultaneously.

Responsibilities

• Manage All Side Events: Oversee planning and execution of all side events for TOKEN2049 and SuperAI, ensuring they align with the overall event strategy.
• Negotiation: Negotiate contracts and deals with various venues and establishments to secure the best rates and services.
• Sponsor Liaison: Serve as the main point of contact for sponsors post-event closure, ensuring their needs are met and relationships are maintained.
• Venue Brief Creation: Develop comprehensive briefs for each venue, outlining requirements and expectations.
• Team Management: Hire, train, and manage event coordinators and independent contractors (ICs) for each event.
• Budget Management: Prepare and manage budgets for each event, ensuring adherence to financial constraints.
• Logistical Coordination: Coordinate logistics including catering, audiovisual needs, transportation, and accommodation for attendees.
• Event Promotion: Collaborate with marketing teams to promote events effectively across various channels.
• Post-Event Analysis: Conduct evaluations after events to assess success and identify areas for improvement.

Qualifications & Skills

• Experience: 3-5 years in event management or hospitality roles.
• Education: Bachelor’s degree in Hospitality Management, Marketing, Public Relations, or a related field preferred.
• Skills:
  • Strong organizational and project management skills.
  • Excellent negotiation and communication abilities.
  • Proficiency in event management software (e.g., Whova, Monday).
  • Ability to work under pressure and manage multiple projects simultaneously.
  • Customer-service oriented with a knack for problem-solving.
• Familiarity with current trends in event management and hospitality.
• Previous experience working with large-scale events or festivals.
